Word-for-word scripts so you walk into every vendor meeting prepared, confident, and in control of your own wedding day.
Wedding vendors are professionals. They do this every weekend. They have heard every objection, handled every hesitation, and they are very good at guiding conversations toward a signed contract. That is not a criticism — it is just the reality of how business works.
What it means for you is this: you need to walk into every consultation as prepared as they are. Not aggressive. Not defensive. Just ready. These scripts give you exactly that.
Use them as written or adapt them to your own voice. The words matter less than the confidence behind them.
✨ Before Every Consultation
Say these things to yourself before you walk in:
- I know my budget ceiling and I will not go above it today.
- It is okay to pause before I respond to a price.
- Asking for flexibility is not rude. It is smart.
- I can always say "I need a day to think about this." Always.
- I am interviewing them as much as they are impressing me.
📷 Photography
"Thank you so much for meeting with us. We absolutely love your work — especially [specific thing from their portfolio]. We're getting married on [date] at [venue] and we have a photography budget of around [your number]. Before we go any further, can you tell us what that looks like in terms of what you're able to offer?"
You've complimented them sincerely, established your date and venue, and put your budget on the table before they quote you. This stops the conversation from starting at a number you can't afford.
"We love what you've put together and we really want to make this work. That's a little over what we budgeted. Is there any flexibility, or is there a version of this package that might bring it closer to [your number]?"
"I completely understand. Can you help me understand what I could remove from the package to bring it to [your number]? For example, would fewer hours of coverage or removing the second shooter make a difference?"
Questions you must ask every photographer
- Have you shot at our venue before?
- What happens if you have an emergency on our wedding day?
- How many weddings do you shoot per weekend?
- How long until we receive our edited photos?
- Can we see a full gallery from a recent wedding, not just highlights?
- What exactly is included in this package and what would cost extra?
- Are travel fees included or separate?
"I have another couple interested in your date and I can only hold it for 24 hours." This is a pressure tactic. Take the time you need.
"Don't worry, we'll figure out the details later." Get everything in the contract now, not later.
"Our prices are firm, no exceptions." Fine — but if they won't discuss adjusting scope either, make sure you are completely happy with everything before signing.
🌸 Florist
"We're getting married on [date] and our total floral budget is [your number]. I want to be upfront about that so we can figure out together what's possible within that number rather than fall in love with something we can't afford."
Florists appreciate budget honesty. A good florist will immediately start thinking creatively about how to maximize your number rather than how to exceed it.
"This is so beautiful and I can see exactly the vision you've created. It's a little over what we have to work with. Can we look at where we might be able to adjust? For example, are there flowers in season at our wedding time that could substitute for some of the more expensive stems without losing the overall feel?"
Smart questions to ask
- What flowers will be in season at our wedding time? Which are most affordable?
- Is there anything in my inspiration photos that's particularly expensive I should know about?
- What does the setup and breakdown process look like and is that included in this quote?
- What happens to the flowers after the wedding?
- If prices fluctuate before the wedding, how is that handled in the contract?
🏛️ Venue
"We're looking at venues for [date] with a guest count of approximately [number]. Before we fall in love with the space, can you walk us through the full cost picture — not just the rental fee, but everything else that would appear on our final invoice?"
Venue quotes are notorious for hiding costs. Asking for the full picture upfront protects you from falling in love with a space you can't actually afford once everything is added in.
The hidden cost questions
- Are tables, chairs, and linens included or rented separately?
- Is there a catering minimum or required vendor list?
- What are the setup and breakdown times and are there fees for going early or late?
- Is there a noise curfew or music restriction we should know about?
- What is the rain or weather backup plan for outdoor spaces?
- What is the cancellation and rescheduling policy?
- Is there a required security deposit and when is it returned?
- Are there vendor restrictions — preferred lists, corkage fees, outside catering rules?
"We love this space and it's our top choice. The pricing is a little beyond what we budgeted. Is there any flexibility for our date, or are there package adjustments that might help? We're also open to a weekday evening or Sunday if that changes the pricing."
👗 Wedding Dress Shopping and Alterations
"My budget for the dress and alterations combined is [your number]. I want to be honest about that upfront because I don't want to fall in love with something I can't afford. Can you show me options within that range?"
Say dress AND alterations combined. Alterations can add $300 to $800 or more and sales consultants often quote the dress price alone.
"I love this dress and I want to take a little time before I commit. What is your hold policy? Can you give me 48 hours to think it over?"
A reputable bridal salon will say yes. Anyone who tells you the dress will be gone tomorrow and refuses any hold period is using pressure tactics.
"Before we schedule alterations, can you give me a written estimate of all the work needed and the total cost? I want to make sure we're on the same page before anything is started."
Always get the alterations quote in writing. A verbal estimate of $200 can become a $600 invoice if you don't have it documented.
Questions to ask
- What is the expected delivery date for this dress and what happens if it's delayed?
- How many alteration appointments are typically included and what does additional work cost?
- What is your policy if I need to cancel or if there's a sizing issue when the dress arrives?
- Do you have a sample of this dress I can try before ordering?
🎵 Music and Entertainment
"We have a budget of [your number] for ceremony and reception music. Can you walk me through what that covers with you, and what the process looks like for communicating our must-play and do-not-play lists?"
Critical questions for DJs
- Will you personally be at our wedding or could it be another DJ from your company?
- How do you handle song requests from guests during the reception?
- What equipment do you bring and what's your backup plan if something fails?
- How do you handle the transition between ceremony and reception music?
- Can we meet closer to the wedding to finalize the playlist and timeline?
Critical questions for bands
- What is the exact lineup of musicians we're booking and will it be the same people on our wedding day?
- How many breaks do you take and what happens to the music during breaks?
- What is your repertoire and how do you handle requests for songs you don't know?
- What are your setup requirements — space, power, load-in time?
🎬 Videography
"We've budgeted [your number] for videography. Can you tell me what that looks like with you — the length of the final film, the style, turnaround time, and what's included versus what costs extra?"
Questions to ask
- Can we see full wedding films, not just trailers or highlight reels?
- What is your editing style and how much creative input do we have?
- How long is the final film and are there options for a longer cut?
- What format will we receive the files in and do we have full rights to share them?
- What is your turnaround time for delivery?
- Will you be the videographer or someone from your team?
💌 Invitations and Stationery
"Our stationery budget is [your number] for approximately [guest count] guests. That needs to cover invitations, envelopes, RSVP cards, and postage. Can you tell me what's realistic within that number?"
Postage is the hidden cost most brides forget. Invite suites with multiple enclosures and non-standard envelope sizes can cost significantly more to mail. Ask about this specifically.
Questions to ask
- What is included in this quote and what would cost extra — addressing, assembly, envelope lining?
- What is the proofing process and how many revisions are included?
- What is the production timeline and latest order date for our wedding date?
- Do you offer day-of stationery — programs, menus, place cards — and what does that add?
- What happens if there's a printing error?
🍽️ Catering
"Our catering budget is [your number] for approximately [guest count] guests. I want to understand the full picture — per-head costs, service staff, setup, breakdown, and anything else that would appear on the final invoice. Can you walk me through all of that?"
Questions to ask
- Is the per-head price all-inclusive or does it exclude service staff, rentals, or gratuity?
- What is the ratio of service staff to guests?
- Do you handle the cake cutting and is there a fee for that?
- What is your policy on leftover food?
- Can we do a tasting before signing and is there a cost for that?
- What is your backup plan if a key staff member is ill on the day?
- How do you handle dietary restrictions and special meal requests?
You are the client. This is your day. Every vendor you hire is a professional you are bringing onto your team — and a good team member listens, communicates clearly, puts everything in writing, and makes you feel confident rather than pressured.
If a vendor makes you feel bad for asking questions, they are not the right vendor for your wedding.
